Vault is where you turn files into governed working knowledge. The point is not just to store documents. The point is to make the right materials findable, trustworthy, and usable inside prompts, workflows, and reviews without people hunting through folders every time.

Structured upload

Add documents with clear ownership, tags, and status so the material can be governed instead of dumped into a pile.

Search and retrieval

Find materials by meaning or keyword depending on whether you are exploring or doing a precise lookup.

Prompt injection

Send the right material into Prompt Architect or PromptForge when the task truly needs reference context.

Lifecycle control

Move content from draft to review to published to archive so outdated knowledge stops contaminating AI output.

Give each document an owner, a purpose, and a status.

Use domain-prefixed tags so search scales cleanly across teams.

Mark drafts and under-review items clearly so they are not mistaken for production truth.

Archive instead of deleting when the document still matters for history or audit.

Step 1: Upload with context

Add the document with a meaningful title, ownership, and tags that explain what it is for and where it belongs.

Decide whether the material is draft, review-ready, published, or archived. Status controls trust, not just organization.

Use keyword search for exact identifiers and semantic search when you know the idea but not the exact wording.

Do This

Write titles and tags for future search, not only for the current uploader.

Publish only materials that are truly safe to inject into production prompts.

Prefer smaller, focused knowledge injections over dumping entire manuals into one run.

Review documents that have not been used in a long time and decide whether they still belong.

Avoid

Do not let drafts sit next to published materials without a clear status signal.

Do not assume the newest file is the most authoritative file.

Do not inject large context blocks if only one section actually matters.

Do not delete historically important materials when archive status would preserve the trail.

DocuForge Library, Editor, AI, Design, and Export

In the current product surface, Vault and Materials is strongly expressed through the DocuForge document library and editor. That means the practical user journey is: store or generate a document, edit it safely, style it for export, and optionally turn one template into many outputs through batch generation.

Document library

Templates are listed, grouped into folder-like buckets, and can be created blank, opened, or deleted from the document sidebar.

Live editor

The main editor keeps markdown and rich text in sync, tracks unsaved changes, and exposes outline plus formatting controls for headings, lists, quotes, tables, and code.

AI and design panels

You can run AI rewrite actions on a selection or whole document and apply design profiles for branded export styling.

Batch and export

Documents can be exported as markdown, DOCX, or PDF, and templates with variables can drive CSV-based bulk generation.

Outline: navigate long documents by heading structure.

AI: rewrite a selection or the whole document with a chosen tone and instruction.

Design: pick or create a design profile with colors, fonts, logo, layout, and footer settings for polished exports.

Batch: upload CSV data, check whether headers match template variables, then generate multiple outputs from one template.

Create or generate the starting document

Use a blank document for manual drafting or AI generation when you need a first structured pass quickly.

Edit with the right panel open

Use outline for navigation, AI for rewriting, and design only when the content is stable enough to style.

Save the template before exporting

Persist the clean source version first so later exports and batch jobs use the correct base document.

Batch only after variable coverage is clean

If CSV headers do not cover the template variables, fix that mismatch before launching a multi-document run.

Pro Tip: Design comes after content

Teams lose time when they polish export styling before the document structure is stable. Get the content right, save it, then use design profiles and export formats for final delivery.
